Import Students
To view the options available for Importing Students, select the Import Data option from the main menu and select "Import Students."
To import students, set up your import file according to the directions below. Your import file should be a tab-delim ted text file with the following fields:
Last Name: The student's last name. (Optional but recommended)
First Name: The student's first name. (Optional but recommended)
Student ID: The student's ID number, which must be unique within the district. (Required)
Secondary ID: The student's secondary ID number. (Optional)
Birthdate: The student's birth date as MM/DD/YYYY. (Optional)
School: The school that the students attends. The school name must have already been entered into the Acadience system. (Required)
Class: The class to which the student belongs. The class name must have already been entered into the Acadience system. (Required)
Grade: The student's grade. First to ninth grade should be entered as a numeric value (1 to 9). Kindergarten should be entered as K. Pre-Kindergarten can be entered as PK34 (for students who are 3 years old at the beginning of the school year) or PK45 (for students who are 4 years old at the beginning of the school year). (Required)
The file can be constructed in Excel or another spreadsheet program, then saved as tab-delimited text.
When constructing the import file in a spreadsheet, it should look like this:
If you are importing student information from a previous year, select the year for which you are importing, and the location of your import file, then click Submit.
The import tool will then process the file, and report any warnings or errors. If there are errors, correct the file and try again. If there are warnings, examine the warnings to see if any need to be corrected. If there are no errors and no warnings that need to be corrected, you will see a button labeled Proceed With Import. Click that button to complete the import.
